Overview  

The Finance and Admin. Assistant will ensure smooth financial and logistical operations within the state, providing critical support to the Operations Unit. This role involves coordinating with the Finance Team, Senior Operations and Procurement Specialist, and State Specialist to manage and implement project activities effectively.



Key Responsibilities  

- Accommodation and Logistics: Arrange accommodations for staff, participants, and consultants visiting the state for assignments. Organize the dispatch of goods and equipment, prepare packing lists, waybills, and necessary export documentation, and communicate shipping details to receivers promptly.

- Administrative Support: Manage calendar schedules, book conference rooms, and ensure all logistical arrangements for meetings, conferences, and activities are in place. Prepare workspaces for new employees, ensuring availability of necessary equipment and furniture.

- Inventory Management: Oversee inventory and asset management, ensuring that all materials and equipment for activities are organized and ready.

- Procurement Coordination: Engage and coordinate with vendors for the procurement of goods and services. Arrange catering services for official functions as required.

- Financial Management: Prepare payment schedules for vendors and participants, properly code all transactions, maintain administration and accounting files, and ensure timely reconciliation of outstanding vendor payments. Manage consumption control of resources like petrol, electricity, water, and telephone.

- Compliance and Reporting: Ensure compliance with MSH policies, Global Fund guidelines, and Nigerian government regulations. Create monthly administrative and financial reports, manage state-level tax and statutory payments, and ensure accurate entries into project tracking logs. Complete month and year-end activities in line with MSH procedures.

- Other Duties: Perform additional tasks as requested by the supervisor.


Qualifications 

- Education: University Degree/HND in Accounting.

- Experience: Minimum of 2 years in accounting and administrative roles, with experience in Global Fund and U.S. government projects preferred.

- Skills: Proficiency in Microsoft Office, particularly Excel; strong verbal and written English skills; good typing, memo composition, and editing skills; excellent computer skills, including Word, Excel, Outlook, PowerPoint, and Photoshop; ability to multitask and manage priorities; and strong organizational skills.

- Other Attributes: Ability to work independently, take initiative, learn complex procedures, and work effectively in a fast-paced environment. Excellent interpersonal skills, with the ability to interact professionally with a diverse staff, clients, and consultants.
