Position Overview
Administrative Officer
The Administrative Officer will be based in Gusau, Zamfara State, and will play a crucial role in supporting the Administration Manager. This position is pivotal in ensuring the smooth operation of administrative processes, facilitating logistical coordination, and maintaining efficient office management.
Key Responsibilities
Office Administration and Support
Office Operations: Assist in the management of daily office activities, ensuring all operational aspects are efficiently coordinated.
Policy Implementation: Support the implementation of administrative policies and procedures to foster a productive work environment.
Field Team Support: Provide administrative assistance to field teams, including handling purchase requests and conducting office needs assessments.
Filing System Maintenance: Assist in establishing and maintaining an organized filing system for all administrative documents.
Lease and Facility Coordination
Lease Management: Help oversee lease agreements by maintaining accurate records of lease terms and payment schedules.
Compliance Assurance: Liaise with other departments to ensure that leased properties adhere to IRC standards and regulations.
Travel and Logistics Support
Travel Arrangements: Coordinate travel logistics for staff, including hotel bookings and travel-related payments.
Expense Reconciliation: Reconcile travel expenses, ensuring prompt payments to service providers.
Documentation and Compliance
Record Maintenance: Keep up-to-date records of all administrative activities, including reports and official communications.
Regulatory Compliance: Ensure adherence to local regulations and IRC’s administrative policies.
Reporting: Assist the Admin Manager in preparing and submitting regular administrative reports.
Financial Support
Petty Cash Management: Assist in maintaining petty cash accounts and monitoring expenses related to administrative activities.
Payment Processing: Support the processing of payments and purchase requests, as well as contribute to budget preparations.
Key Working Relationships
Reports to: Administration Manager
Internal Contacts: Collaborate with IRC staff and field teams.
External Contacts: Interact with partner organizations, hotels, and government ministries.
Qualifications
To be successful in this role, candidates should possess the following qualifications:
Educational Background: Bachelor’s degree in public or business administration, management, social sciences, or a related field.
Experience: Minimum of 3 years of experience in an administrative role, ideally within a humanitarian or development context.
Skills: Strong organizational and multitasking abilities, proficiency in Microsoft Office Suite, and excellent communication and interpersonal skills.
Team Collaboration: Ability to work independently while also being a cooperative team member.
Local Knowledge: Knowledge of local languages and cultural context in Zamfara and Katsina is a plus.
Working Conditions
This position is based in Gusau, Zamfara State, Northwest Nigeria. The role may involve occasional travel to other IRC field offices, depending on operational needs.
